How to make a cancellation? And will I be charged when cancelling my booking?

If you want to cancel a booking, please send a cancellation request by email or sending a fax to us. We do not accept a cancellation by phone. Please read carefully the cancellation policy of each program in the Check Rates tab. We also note clearly about the timing of cancellation and how much will be charged for the cancellation.

How do I get from Hanoi to Sapa by bus?

Sapa is a popular destination in the Northwest territory of Vietnam, with beautiful scenery, fresh air and wild green hills. There are plenty of methods to go to Sapa and vice versa: by train, by car, by motorbike and by bus.

is the most popular way but the drawback is the long time and many people might not be into the idea of taking a night train. With car and motorbike, go with the highly experienced drivers since the road to Sapa is quite a challenge. If you are keen on taking the bus, here is some essential information.

From Hanoi:

Night bus: You can get on a Hanoi - Lao Cai Bus, and after that take a minu bus to Sapa from Lao Cai. There are also 2 bus companies running direct route to Sapa with a quick stop-over in Lao Cai: Vietbus (284 Giai Phong Street) and Hung Thanh (No.287 Tran Khat Chan - Thanh Nhan - Hai Ba Trung). Hai van Expess (My Dinh Station) .Bus Camel Travel (No 459 Tran Khat Chan - Thanh Nhan, Hai Ba Trung), New Star and Hop Nhat Travel ( Giai Phong )

From Sapa: Vietbus and Hung Thanh also operate buses from Sapa to Hanoi daily. The buses depart from the Sapa Bus Station, just 1km Southeast of the main square, near the central lake.

Schedule: Depart Sapa at 7:30 A.M. and 6:00 P.M. daily, arrive in Hanoi at 5:30 P.M. and 4:00 A.M. respectively

Sapa's climate is very seasonal with temperatures reaching 29°C (84°F) in summer down to freezing in winter. Humidity ranges from 75% to 90%, but summer months are the wettest, especially July and August. The best time to travel is March and April for warm and dry weather or go in October and November for cooler climes and clear days.

Payment ?

Do I need to pay the deposit?

The deposit is required to guarantee your reservation (tours, hotels, transfer, etc.). After receiving your deposit, we're going to reserve the services for you. So the deposit is required to secure your booking.

Normally, 30% of total cost will be required for deposit at the booking time.

For some urgent cases or special types of promotion, we will require full payment at the booking time.

How can I make a payment to Sapa Ethnic Travel?

You can pay us by:

- Credit card (3.5% bank fee - pay online via Onepay system, or Letter of Authorization & POS): we will send you a payment link to pay through One pay, or you can pay through POS when we meet directly in Sapa.

- Cash (no bank fee): to avoid bank fee, you can pay us by cash (VND, USD, AUD, EUR - exchanged by local rate) at our Hanoi office or at your hotel in Hanoi.

Notice: Payment by Cash is only applied for trips that start from Hanoi with an amount > 500USD. For the amount less than 500USD, please let us know your request, we will consider with each case.

- Bank Transfer (all sides of bank fee paid by you): for the large amount of money (> 2000USD ), you can pay us through bank transfer to reduce the bank fee. For our bank account details, please see: About Sapa Ethnic Travel.

Notice: Please fill exactly Account Number, Account Name & Swift code - It's very important for smoothly receiving your money.

What is the booking process?

The booking process is represented through 5 steps below:

Step 1: Check Rates

Fill in the numbers of adults, children and infants of your group, enter your departure date and click 'Check Rates' button, you will see the accommodation prices.

Once you selected an accommodation, click 'Book It' button to continue.

Tips: To get more special discounts, please take a look at 'Trip saving for booking together' section where you can check rates and get a discount for booking 02 services at the same time. The discount amount ranges from US$3 to US$60 per room per night (hotel) or per pax (tour).

Step 2: Book Extra Services

This step meets your needs in booking optional services like transfer, visa, kayaking or other interesting activities related to your current booking.

Tips: Don't forget to book hotels, tours together in this step! It's a smart way to get more savings.

Step 3: Submit Booking

Here you can review, add or remove your booking items, complete and submit your booking form.

After your booking is submitted, the system navigates to a 'Thank you page and send you an automatic email listing all the services you requested.

Our travel consultant will get in contact with you within 01 working day to inform about the service availability & payment.

Step 4: Confirm Availability & Deposit

1. Check availability :

After receiving your booking request, our consultant will check the availability of the services. If the services are available, our consultant will send you a payment link for the deposit by email, otherwise we will give you some alternative suggestions.

Notice: our email may go to your spam mailbox, please check your spam mailbox if you don't receive our response in one working day.

2. Deposit:

After receiving the payment link in the email sent from our consultant, please make the deposit as soon as possible to secure your booking. When we receive your deposit payment, our consultant will reserve the services for your booking as following:

If all of the services are reserved successfully, we will send you a Confirmation Email including the deposit invoice and other useful information

If the services are fully booked and are not available, we will inform you and suggest other options. In case you no longer want to book these services, we will refund all of the deposit amount.

Notice: Your booking will NOT be confirmed until we send you the Confirmation email. The remaining balance can be paid later - before departure date. For some urgent bookings or special types of promotion, 100% of the total cost will be required.

Step 5: Come & Final Payment

The full payment must be made before your departure date. The exact deadline will be confirmed by our travel consultant depending on each service you booked.

The remaining balance can be paid by Cash (VND, USD, AUD, EUR) or by credit card. For the customers who're going to stay in Sapa, we're able to setup a direct meeting to collect the final payment.

Tips: If you are going to stay in Hanoi and your remaining balance > 500 USD, you can pay by cash to avoid 3.5% bank fee by credit card.

Notice: Payment by cash on arrival is only applied for trips starting from Sapa and the arrival date is before the payment deadline (confirmed by our travel consultant). All currencies are exchanged by local rate.

 

Do you accept credit card ?

Answer: Yes, We accept Mastercard, Visa Card, JCB and American Express.

How many payment methods do you offer and what are they?

Answer: Now we offer 5 payment methods: Cash, Bank transfer, Credit card imprint, Secure OnePay online payment and payment through Western Union.

What currency your prices are in?

Answer: All of the prices on our website are in US Dollar.

Can I make payment for someone else using a credit card?

Answer: No, you cannot make a payment for someone else using credit card. The name on the credit card must match the name of the guest.
However, you can pay for someone else using bank transfer or through OnePay.

How do I book and pay for a tour?

Answer: Once you have found a tour that you would like to book, please click on "Select" and fill in your booking details (the departure date that you would like to go, the package, the number of people, your full name, nationality, email address and any special requests). Once we confirm the availability, we will send you an email to confirm and our payment policy information. With this, you can choose your prefered payment method and pay us.

- With tour bookings, you DO NOT need to pay total in advance, we just need 30% for Deposit, to ensure that you use our services.

- With flight or train ticket bookings, we require 100% total payment in advance.
If you would like to pay by others methods, please inquire with us directly.

 

Reservation ?

When will my reservation be confirmed?

After accepting to book the services, you need to pay the deposit for the services. Once received your deposit, we will reserve the services for you.

If all of the services are reserved successfully, we will send you a confirmation email including a deposit invoice and other useful information.

If the services are fully booked and therefore, unavailable, we will inform you and suggest other options. In case you no longer want to book those services, we will refund all the deposit amount.

 

When you receive confirmation email, it means your reservation is confirmed.

Notice: Your booking will NOT be confirmed until we send you a confirmation email.

Sapa Trekking Village homesay ?

Are we sleeping with the family at the village in the same house. Do we eat with the locals at the homestay.

Yes, we will stay with the family in the same house providing we are a group of less than 8. If we are more than eight we will divide into smaller groups and stay with multiple neighboring families with homestays. We will normally enjoy dinner and sleep with one family, but sometimes, the neighbors want to share the tourism benefits equally, then cooking and eating is at one house but sleeping is at another.

What types of activities should we expect to be participating in at the homestay ?

There is a wide range of activities that we have participated in. Some of our guests have gone out in the fields and actually got into the mud and planted rice. Others, have befriended one of the young women and was taken to her house to have tea. Sometimes the guests are up for some more trekking and we go for a short walk in the mountains. And, others prefer to just sit and relax. Helping out with the cooking and some of the chores is encouraged so that you can get a better understanding of local life. The people at the homestay are quite shy. Especially with their English. They can speak a little English and actually it is enough to have a conversation. Although, they do need some encouragement. We ask you to be active in communicating with the family, ask them questions about their lives. They are always happy to answer, often showing you and getting you involved in order for you to better understand.

How should I prepare before going to the homestay ?

Answer: For the homestay, there is not much preparation. Making sure that you have packed everything you need to make your stay more confortamble is most important. Bring a small bag with the clothes change of clothes. You should bring something warm, as the nights will cool off, sometimes dropping as mush as ten degrees. Other things you might want to bring with you are a mirror, toilet paper, your favorite tea or snack, flashlight, and a book.

Further preparations to make your stay even more special would include learning a short song to sing after dinner. It is a cultural tradition to sing after dinner, and if you start off by saying you would like to sing a song, then all the better. You can bring gifts for the homestay owner, things like pens, pencils, and books. Other great things to bring with you to the homestay, and all over asia, are pictures of your home, you and your family. The pictures always become a great conversation piece.

When is the best time to visit Sapa ?

When is the best time to visit Sapa.

The best time to visit is from April to September. Although, each season has its own special qualities and surprises. During this period the temperature is ranging from 15-25 Degree Celsius, it is not a raining season in Sapa so the trekking routes are dry and bear great opportunity to do longer treks and to conquer Mount Fansipan. During the winter months, the temperature is much cooler and it is advised to bring a some warm clothing (hat, sweater, wool socks) for your trekking. Also, during the winter months there are periods of light rain, sleet which brings in the fog. This puts Sapa in the clouds and allows for some fantastic photo opportunities.
